Description

The 2016 Annual Kiss a Pig Gala is right around the corner and we need your help! This is a perfect opportunity to get some volunteer experience on your resume or get volunteer hours required for your organization. The best part? You will get to see chart-topper Andy Grammar perform while helping the American Diabetes Association spread awareness for a great cause! This is a one night only event on Saturday March 12th, however we will also need volunteers to help set up the evening prior to the event, Friday March 11th. If interested please contact nwaintern@diabetes.org and we will gladly send you a sign up form. We cannot express how much we value our volunteers. Without you this event would not be possible, so please come out and have fun with us while supporting the fight to stop Diabetes!

Must attend Volunteer Training February 23rd on NWACC campus in the Walmart Auditorium at 6pm

• Main Entrance Greeters
o Please direct all guests to registration. Must go here first to get seat assignment and receive bid numbers before entering ballroom.
• Ballroom Greeters
o Guests will be given their assigned table name at registration.
o Tables will have nameplates to indicate the table # and table name. Names will be by company which will show logos. Others like family tables and individual tables will be text (i.e. Abbott Nutrition will show logo vs. Smith Family will be text only).
o Please note, the table name won’t always match up for the company they work for (some tables have been resold).
o All greeters will be provided a spreadsheet with table assignments to include the table name and table #.
o Greeters will also receive a room diagram displaying how the tables are arranged by table #.
o Please ask guests as they enter ballroom doors which table they are with, and find it on your spreadsheet to determine corresponding table #.
o Give guests directions to their tables.

• As guests arrive, ask for their name and/or company name. *IMPORTANT*. Enter info in search field in database. If name already listed, move on to assigning bid #. In case of power outage, hard copies of reservations will be provided to manually enter data.
• Some guests may not have provided name in advance so will be listed as guest under company name. If so, pull up company tables and enter name into database replacing blank guest row.
• Other guests may be coming in another person’s place. If so pull previous guest info and replace by typing over info. *IMPORTANT*
• Assign guests to a bid # by pulling the next program from your stack and scan the bid number bar code and enter contact phone number in the database. Couples can use the same #; just assign one of them to the # for record keeping.
• Hand the guest their program and attached bid # and bar scan stickers.*IMPORTANT*.
Note: should a guest run out of stickers later on, they may print out more stickers at the kiosks provided at registration and in auction area.
• After handing over materials, provide table name and #. Please note table name matches table display and not necessarily reflective of company name. Greeters will be available at the doors to direct guests to their tables.
• You may also direct guests to coat check if needed (located to your left just off main Hammons Center entrance).

• Each candidate will be assigned a specific area for their items.
• During gala, watch items to ensure starting bid meets min requirement and increments are made in the correct amount. Also, make sure guests are placing bar code stickers properly. Mark out any incorrect bids.
• At close of silent auction, the emcee will make an announcement that auction has closed & will invite guests back into ballroom for the WallFlowers concert and KAP winner ceremony.
• Immediately at close of silent auction, monitors will begin pulling sheets as others escort any guests remaining in room to please move into ballroom. Bottom copy of bid sheet will remain with items.
• Hand to cashiers for processing.

• Guests will present receipts to volunteer to collect items, including certificates.
• Carts will be available to help transport to guest vehicles.
• Items will be arranged by candidate names and item number range, notated on receipt. These items will not necessarily be in order on tables. Match receipt item numbers with the item number on auction close out sheet.

Post Event Auction Check-out
• If necessary, guests can pay for and pick-up their auction items the week of Tuesday, March 17th-Friday, March 20th from 10am – 5pm at the ADA Office located at 1732 Moberly Lane, Suite B in Bentonville. 479-464-4121
• On Tuesday, we’ll make phone calls to all bidders who have yet to pick up items to invite them to come during pick-up time.

• Cashiers will begin processing auction items. Scan each bid sheet item bar code and then bidder bar code followed by manually entering winning amount. After all entered, totals for each candidate will be sorted, checked twice & then recorded onto official candidate tally sheets.
• Official tally sheets are then given to ADA Director to be delivered to stage for announcement of winner by event chair.
• Auction check-out opens for guests at 10:45pm.
• Cashiers will print an itemized receipt for each bid number as guests arrive to check-out.
• To collect payment, type bidder # in database search box to pull up guest info. Ask how guest will be paying (i.e. cash, check or credit card (AMEX, VISA, MASTER, DISC). Fill in all info including billing address and payment type. If cash, type “cash.” If check, type check + check #. If credit card, have guest fill out cc form and type see cc form (note bidder # on cc form on upper right-hand corner of form). ***PLEASE NOTE: CREDIT CARD FORM MUST HAVE ALL INFO COMPLETED INCLUDING EXPIRATION DATE & TOTAL DOLLAR AMOUNT ***
• Give guest their copy of cc form and receipt. Guests will use receipt to pick-up their item(s), including certificates, in auction room with assistance of volunteers.
• To process money, cashier will staple cc receipt or check to the bid sheets; cash will be paper clipped and placed in bank bag.
• Lead cashier will be responsible for bank bags.
• At the end of the evening bank bags will be taken to lock in safe by lead cashier, ADA Director & security.
