About

Inspiring Minds is a non-profit education agency founded in 1963 to provide academic support for the children in two segregated elementary schools. Named initially Lippitt Hill Tutorial, the organization grew into a citywide service and, in 1988, became Volunteers in Providence Schools. The more elegant name of Inspiring Minds was adopted in 2008.  Inspiring Minds is a student-centered organization, ensuring our programs are focused on promoting positive outcomes for the youth we serve.

 

Reporting to the Executive Director, the administrative assistant will perform a range of administrative and office support functions for Inspiring Minds to facilitate the efficient operation of the organization. The administrative assistant will directly contribute to increasing Inspiring Minds' capacity to create successful students by providing them with the appropriate academic and social supports.

 

MAIN DUTIES/RESPONSIBILITIES:

·         Handle incoming phone calls and written correspondence, providing prompt responses and forwarding to the appropriate staff member where necessary.

·         Perform general clerical duties including photocopying, scanning, filing, and mailing.

·         Handle requests for information and data and follow up with an appropriate staff member.

·         Manage supply inventories and coordinate the maintenance of office equipment.

·         Update student and volunteer databases.

·         Assist with volunteer and outreach coordination as required.

 

ORIENTATION AND TRAINING OPPORTUNITIES

·         Participation in the New Volunteer Orientation is required.

·         Optional training include Coffee Hours, Quarterly workshops on related topics.

SKILLS & EXPERIENCE

·         Excellent organizational, written and verbal skills

·         Detail oriented and committed to meeting deadlines

·         Good interpersonal skills

·         Works well independently and as part of a team

·         Ability to adapt to shifting priorities and manage multiple deadlines

·         Ability to problem-solve in a fast-paced work environment

·         Knowledge of Microsoft Office programs, including Outlook, Word, and Excel.  Working knowledge of GivePulse is very helpful.

·         Bilingualism is an asset

Qualifications: 

          Enrolled in an institute of higher education and awarded federal work-study.
